Volunteer recruitment fails in a specific, predictable way: plenty of people say yes, and then the coordinator spends two weeks in phone tag figuring out who can do what, and when. This form moves that entire discovery conversation to the moment of sign-up, when enthusiasm is highest and answering questions feels like helping — because it is.

Why these fields. Roles come first and allow multiple choices, because volunteers are not job applicants; the person happy to drive is often also happy to stack chairs, and a single-choice question would hide that flexibility. The "wherever help is needed most" option earns its spot by catching the most valuable volunteers of all — the genuinely flexible ones a scheduler can drop into any gap. Availability is asked in broad windows rather than exact dates, which is a deliberate trade: at registration time you need the shape of someone's week, not their calendar; exact shift assignment happens later, from the responses view, when you know your real coverage needs. The skills box is free text on purpose. Checklists only anticipate the skills you thought of; the open field surfaces the retired electrician, the fluent signer, and the person who owns a PA system — capabilities no coordinator would think to ask about. The texting number is optional and phrased around shift days, because that is the honest use: nobody wants calls, but a "gate code changed, park behind the hall" text saves a morning. Shirt size looks frivolous next to the rest, yet appreciation is retention — and appreciation that fits is better.

What we left out. Background-check paperwork and emergency contacts. Programs that require them usually run a formal onboarding step after selection, with documents flowing through a controlled channel; asking casually at sign-up adds friction exactly where you want none. Availability by specific date is also absent — collect that per event, not per volunteer.

Who uses this. Festival and race organizers building day-of crews, food banks and shelters running weekly rosters, school parent associations, animal shelters, museums with docent programs, and civic groups that need a bench of helpers they can actually search.

Make it yours. Swap the roles for your real operation and rename the shirt question if you hand out caps instead. Turn on email notifications so each new volunteer lands in the coordinator's inbox, and export the CSV when scheduling — filtered by role and availability window, it is the draft roster. If sign-ups spike after a newsletter mention, the built-in spam layers keep the list human without adding a captcha for everyone.

The scheduling handoff. Treat this form as intake, not assignment. When shifts firm up, email the matching availability segment from the export — a volunteer asked to fill a slot they already said yes to almost always accepts, which is the whole trick of good coordination.

How do I cap sign-ups for a role that is full?

The simplest pattern is one form per program or event with close-after-N-responses in Settings; for role-level caps, duplicate the form per role — each keeps its own count.

Can new sign-ups appear in our team chat?

What if someone starts the form but never finishes?

Partial submissions are saved as people type, so a half-finished sign-up still shows the name and email — a perfect gentle-nudge list for the coordinator.
