Need something bought? Give procurement an actionable requisition — the exact item, where to buy it, and when it must be in hand.

The single best accelerator — procurement buys exactly what you meant.

Best estimate including shipping or fees — it sets the approval path.

And why it matters — existing account, support terms, compatibility.

Attach the formal quote if the vendor issued one.

Procurement delays are rarely procurement's fault. The request said "a good monitor for the design team", the buyer guessed, the wrong panel arrived, and three weeks vanished into a return. Requisitions fail at intake — this form is built on the opposite premise: a request precise enough to execute without interpretation gets executed without delay.

Why these fields. The item field asks for the exact model or license tier, and the URL field beside it is the real precision instrument — a link to the product page eliminates the guesswork that causes wrong-item purchases, which is why its description calls it the single best accelerator. Quantity and estimated total are both numbers on purpose: they sort requests into approval tiers automatically (most companies route anything above a threshold to a second signature), and the estimate's description is honest that this is its function. The preferred-vendor field captures institutional knowledge procurement cannot see from a link — the vendor where you already have an account, net-30 terms, or the support contract that makes a pricier option cheaper. The needed-by date converts urgency from adjective to fact, letting the buyer sequence orders against shipping reality instead of against whoever asked loudest. The justification field answers the approver's only real question — why now — and the PDF upload carries the formal vendor quote when one exists, arriving attached to the request instead of lost in a mail thread.

What we left out. Budget and GL codes — requesters guess them wrong more often than right, and a wrong code costs finance more than a blank; let procurement assign coding at order time. Also contract-negotiation fields: anything with terms to negotiate deserves a conversation, not a bigger form.

Who uses this. Office and operations managers consolidating team asks, school and lab administrators with equipment budgets, startups formalizing spending after the swipe-the-card era, and nonprofits whose funders require a written trail per purchase.

Make it yours. Add a logic rule for your approval threshold — a condition on the estimate (greater than 1,000, say) can reveal an extra justification or second-approver field only for big-ticket asks, keeping small requests small. Password-protect the form so requisitions come only from staff. Notifications put each request in the buyer's inbox at arrival, a webhook can post them to your finance channel, and the CSV export is a ready-made spend-request log — item, cost, team, and date, the columns your quarterly review actually reads.

Precision is speed. Every field here removes one interpretive step between asking and ordering. When nothing needs interpreting, the order goes out the same day the request comes in.

Frequently asked questions

Can big purchases require extra justification automatically?

Yes — add a logic rule with a greater-than condition on the estimated cost that reveals an additional field or second approver name only when the number crosses your threshold.

What formats does the quote upload accept?

PDF only on this template, up to two files at 10MB each — and every upload is verified against its declared type before download.

Why is the product link so important?

Because it removes interpretation: procurement opens the link and buys exactly what the requester saw. Wrong-item purchases and their return cycles disappear.

How does the buying team work the queue?

Email notifications announce each request, the responses view sorts by the needed-by date, and the CSV export doubles as the spend-request log for quarterly review.
